Privacy Policy
Inspectavio is inspection management software provided by Field Inspection Technologies LLC. This Privacy Policy explains how we collect, use, disclose, and protect information when inspectors, inspection companies, clients, agents, and other authorized users use Inspectavio.
This English version is the controlling version unless Field Inspection Technologies LLC publishes a separate localized version that expressly states otherwise.
1. Who we are
In this Policy, "Inspectavio," "we," "us," and "our" refer to Field Inspection Technologies LLC and the Inspectavio software product. "Customer" means the inspection business or inspector that creates an account with Inspectavio. "Client data" means information entered into Inspectavio about a customer's clients, agents, properties, inspections, agreements, reports, and related media.
2. Information we collect
We collect information that is needed to provide and secure the service, including:
- Account information, such as name, email address, phone number, password credentials, company details, language preference, and account settings.
- Subscription and billing information, such as plan selection, billing cycle, payment status, Stripe customer identifiers, invoices, and metered usage records.
- Inspection workflow information, such as clients, agents, property details, scheduling information, inspection status, report templates, comments, ratings, recommendations, signatures, agreements, and activity logs.
- Inspection media and files, such as photos, videos, captions, cover images, attachments, and generated inspection reports or PDF previews.
- Mobile and sync information, such as assigned inspections, offline changes, upload status, device/browser metadata, and synchronization records.
- Support and communication information, such as messages you send to us, support requests, email delivery records, and troubleshooting details.
- Technical information, such as IP address, browser type, device type, operating system, log data, authentication events, security events, and approximate usage timestamps.
3. How we use information
We use information to operate Inspectavio, authenticate users, schedule inspections, generate and deliver reports, process media, sync mobile data, provide client portal access, manage subscriptions, detect and prevent abuse, provide support, improve reliability, comply with legal obligations, and enforce our Terms of Service.
4. Inspection content and client data
Customers are responsible for the inspection content they enter into Inspectavio and for having the rights, notices, and permissions needed to upload client data, property information, inspection media, signatures, and reports. We process client data to provide the service to the Customer and to authorized users designated by the Customer.
5. How we share information
We do not sell personal information. We share information only as needed to operate the service, comply with law, protect rights and security, or with your direction. For example, we may share data with:
- Cloud infrastructure, storage, database, and security providers that host and protect Inspectavio.
- Payment processors, including Stripe, to process subscriptions, payment methods, invoices, and usage-based charges.
- Email, notification, support, and communications providers used to send account, security, inspection, and service messages.
- AI or automation providers when a Customer chooses to use AI-enabled features that require processing submitted content.
- Professional advisers, authorities, or other parties when required by law or necessary to protect our rights, users, or the service.
6. AI-enabled features
Inspectavio may offer AI-assisted features, such as drafting support, summarization, image or report assistance, or workflow suggestions. If you use those features, the information you submit may be processed by AI service providers to produce the requested output. Customers remain responsible for reviewing AI output before using it in an inspection report or client communication.
7. Cookies and similar technologies
We use cookies and similar technologies for authentication, session security, language preferences, anti-forgery protection, payment flows, and service reliability. For more detail, see our Cookie Policy.
8. Data retention
We retain information for as long as needed to provide the service, maintain records, comply with legal and tax obligations, resolve disputes, preserve security logs, and enforce agreements. Customers may request deletion or export of account and inspection data, subject to legal, security, backup, and operational limits.
9. Security
We use administrative, technical, and organizational safeguards designed to protect information, including encryption in transit, access controls, authentication controls, database backups, cloud security tooling, and logging. No online service can guarantee absolute security, so Customers should use strong passwords, protect account access, and promptly notify us of suspected unauthorized use.
10. Your choices and rights
Depending on your location, you may have rights to access, correct, delete, export, or object to certain processing of personal information. Customers can manage much of their account and inspection data inside Inspectavio. Other requests may be sent to us using the contact information below. We may need to verify your identity and account relationship before acting on a request.
11. International processing
Inspectavio is operated from the United States and may use service providers located in the United States or other countries. By using Inspectavio, you understand that information may be processed in jurisdictions with privacy laws that differ from those where you live or work.
12. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will update the date above and provide additional notice when required by law or appropriate for the change.
